ZapFlowMatic ("we," "us," or "our") operates the website zapflowmatic.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website or use our services.

• Personal Information. Name, email address, phone number, and business name when you fill out a form, book a call, or complete a survey.
• Usage Data. IP address, browser type, pages visited, time spent on pages, and referring URLs.
• Cookies and Tracking. We use cookies and similar technologies to improve your experience and analyze site traffic.
• Billing Information. When you subscribe, our payment processor collects your payment card details, billing address, and transaction history. We do not receive or store full payment card numbers. We receive a token, the last four digits, card type, and transaction status.
• Account and Usage Data. Login records, plan and subscription status, feature usage, and support communications.

2. How We Use Your Information

• To provide, maintain, and improve our services

• To send SMS and email messages related to your inquiry

3. SMS and Email Communications

By submitting a form or booking a call, you consent to receive SMS and email communications from ZapFlowMatic. Message frequency varies. Message and data rates may apply. Reply STOP to opt out of SMS at any time. Reply HELP for assistance.

4. Sharing Your Information

We do not sell your personal information. We may share data with the following categories of service provider, and with the parties listed below:

• Payment processing. Stripe
• CRM, email, and SMS delivery. HighLevel (GoHighLevel)
• Website hosting and infrastructure. Vercel, Cloudflare, Neon
• Analytics and advertising measurement. Google, Meta
• AI content and media generation. Anthropic, Google, fal.ai
• Legal authorities when required by law
• A successor entity in connection with a merger, acquisition, or sale of assets

4a. Customer Data

If you are a ZapFlowMatic customer, you may upload or generate data about your own customers and leads through the platform ("Customer Data"). You control that data, and we process it on your behalf to provide the service. You are responsible for having a lawful basis to collect it and for the notices and consents your own customers require, including SMS and email consent.

We do not sell Customer Data, do not use it for our own marketing, and do not use it to train third-party AI models. We retain it for 30 days after your subscription ends, then delete it. See our Terms of Service, section 9.4.

If you are an end customer of a ZapFlowMatic client and want your data corrected or deleted, contact that business directly. We will assist them in responding.

5. Data Security

We use industry-standard security measures to protect your information. No method of transmission over the internet is 100% secure.

If we confirm a breach of personal information, we will notify affected customers without undue delay, consistent with the Maryland Personal Information Protection Act and other applicable law.

6. Your Rights

You may request to access, update, or delete your personal information by contacting us at jim@zapflowmatic.com.

How long we keep your data. Customer Data is retained for 30 days after your subscription ends, as described in section 4a. Account and usage records are retained for up to 12 months after your subscription ends. Billing and transaction records are retained for at least seven years, because we are required to keep them for tax and accounting purposes.

Our website may contain links to third-party sites. We are not responsible for their privacy practices.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date.
