Why this offer exists

AI for small business has three failure modes.

Every operator we talk to has the same story. They tried one of the three paths below, it did not work, and they ended up back at square one. We built the AI Automation service to skip those three traps.

Failure 1

The agency quote: $50,000 for an AI strategy.

The deck is polished. The roadmap is six months. The actual workflow that would have saved you an hour a day costs $3,000 to build. You are paying for the deck, not for the workflow.

Failure 2

Out-of-the-box tools that do not know your business.

Generic AI tools generate generic outputs. The auto-reply sounds like every other auto-reply. The lead score is a coin flip. Without your data and your rules in the workflow, AI just produces noise faster.

Failure 3

You do not know where to start.

You read about agents, vector databases, MCP servers, and prompt engineering. None of it tells you which workflow in your business is actually worth automating first. So you do nothing, and three quarters pass.

How it works

From discovery call to live workflow in four steps.

No AI strategy engagement. No 40-slide kickoff deck. One operator scopes the build, ships it, and hands it to you running.

STEP 01

15-minute scoping call

We figure out which workflow is worth automating first. Often it is the one that wastes an hour a day or drops a percentage of leads. No deck, no homework.

STEP 02

Fixed scope, fixed quote

You get a written scope: what the workflow does, what systems it touches, what the price is. One of three tiers below, no hourly billing, no surprise.

STEP 03

Build in 2 to 4 weeks

We build on top of your existing stack (Command Center, Make, Airtable, whatever you already run). One round of revisions is included. You see it working before we hand it off.

STEP 04

Handoff, then optional monthly

You own the build. Optionally roll into a monthly AI add-on so we keep tuning prompts, monitoring outputs, and updating the workflow as the business changes.

Workflow library

The workflows we actually ship.

What clients say about the build process.

★★★★★

They set up automated responses for missed calls and lead inquiries, a simple CRM to track conversations, and a review request system that has made it much easier to build our Google reputation. Everything runs in the background so we can focus on serving customers.

Exceeded my expectations!! Making a website — especially an idea that you have in mind for yourself or business — is not as easy as they make it out to be. So to allow someone else to take over, as hard as that was for me, was the best decision I could have made. I couldn't be happier with how it turned out and couldn't recommend him enough!

Newly small business owner here. I came across Jimmy Hoover through a recommendation for my website build, but most importantly I needed someone who has as much passion as I do for growing my business. Jimmy set forth a clear plan that came with immediate execution and already his services are paying off. His plans are very reasonable for the professional services he provides, and I'll be upgrading very soon. Thanks Jimmy for helping me grow.

Eliminating the potential of burnout was an absolute non-negotiable when I set out leaving the traditional workforce and entering the solopreneur world. Insert ZapFlowMatic. As an individual who loved to be able to do it all, past experiences taught me that optimization of one's skills and time is where sustained success can live. The company, the owner, and most importantly the knowledge on how to automate the sometimes mundane but important tasks of the every day allowed me to plug myself in where most needed for my company to continue to thrive. The biggest importance for me and my business was to still allow myself to jump in at any point of the automation process and let that personal touch shine through with my clients and prospects — with ZFM we were able to fine-tune that perfect in-between. If you are looking to add them on as a tool to your tool belt, simply send me the 'thank you' via chat later.

Pricing

Custom builds or monthly add-ons.

Two ways in. Pick a one-time build if you have a specific workflow in mind and want to own it outright. Pick a monthly add-on if you want continuous AI capability without owning the maintenance.

Single Workflow
$1,500 one-time
One workflow, scoped tight

One AI workflow. One trigger, one integration, one outcome. Built in 1 to 2 weeks. One round of revisions. You own the workflow after handoff.

Scope this build
Operator Stack
$5,000 one-time
Five-plus workflows, multi-system

Five or more AI workflows spanning multiple systems (CRM, email, docs, voice). Includes a 30-day monthly tune-up window after handoff so we can adjust prompts as you see live output.

Or monthly add-ons
AI Lead Scoring
$50/mo

Every inbound lead is scored on fit, intent, and source so your CRM sorts the queue for you. Add-on to any monthly plan.

AI Review Reply
$100/mo

Every Google review gets a drafted reply in your voice, queued for one-click send. Cuts the response chore from minutes to seconds.

AI Booking Concierge
$150/mo

AI handles the booking back-and-forth over SMS and email: availability, confirmations, reschedules, no-show follow-up.

Full AI Ops
$200/mo

Everything above plus monthly prompt tune-up, output review, and one new small workflow added each quarter. The continuous version.

Not sure which path fits? Book the 15-minute scoping call and we will tell you which is the right starting point for your business.

Common questions

What operators ask before scoping a build.

What counts as one workflow?
A workflow is a single triggered chain: one event in, one or more model calls in the middle, one or more actions out. Example: an inbound voicemail (trigger) gets transcribed and tagged by intent (model call), then routed to the right team member with a follow-up SMS drafted (actions). That is one workflow, and it sits in the $1,500 Single Workflow tier. Stacks of three to five workflows that share data are the $3,000 Workflow Pack tier.
Is this for businesses already using AI tools, or starting from scratch?
Both, but the approach is different. For businesses already on Command Center, Make, or a similar stack, we build on top of what is there with no rip-and-replace. For businesses starting from scratch, we usually start with one specific workflow that has a clear ROI (missed-call follow-up, review reply drafting, lead scoring) rather than a sprawling AI strategy. Either way, the discovery call is where we figure out which workflows are worth automating first.
Do I need to be on a ZFM monthly plan to do a custom build?
No. Custom AI workflow builds are one-time engagements that stand alone. You pay the build fee, we ship the workflow, you own it. Most clients pair a build with a monthly plan or an AI add-on so we can keep tuning the workflow as the business changes, but it is not required.
What stays running if I cancel a monthly AI add-on?
The custom workflows you paid for as one-time builds keep running. The monthly add-ons are the ongoing model usage, prompt tuning, and supervision layer. If you cancel, those specific features stop, but anything we shipped as a one-time build is yours and stays in place. Custom builds and monthly add-ons are deliberately separate so you have a clean exit.

Skip the strategy deck. Ship a workflow.
