Reputation engine

Turn happy customers into 5-star Google reviews, automatically.

When a job hits Completed in your CRM, the review request goes out. One tap on the customer's phone, one new star on your Google profile. Negative responses route to your inbox first, not the public listing. Bundled on Lead Engine and up.

Why this exists

Happy customers do not leave reviews on their own.

Reviews are the single most powerful piece of local SEO and trust-building you have. The gap between "the customer was happy" and "the review is on Google" is the entire game.

The default

Happy customers move on. Unhappy ones broadcast.

Service-business reviews skew negative on volume because unhappy people are motivated and happy people are busy. Without a system that asks, your public-facing rating is biased against you by the loudest 5 percent.

The manual ask

Asking by hand burns operator time you do not have.

"Hey, could you leave us a review?" works once or twice a week at most before you forget. The customers who would have given five stars never get asked. Operator brain cycles are not the right fuel for this.

The unfiltered ask

A naive ask hands your loud unhappy customers a megaphone.

Sending a review link to everyone, including the customer who is mildly annoyed, just nominates more bad public reviews. The smart-filter step is what turns the system from "review request" to "reputation engine".

How it works

From completed job to posted review in four steps.

The system runs on your CRM pipeline. No new app, no separate dashboard. You finish the job, the rest is automatic.

STEP 01

Trigger

You move the job to Completed in your GHL pipeline (or your existing CRM if we wire it). The contact and job context flow into the review workflow automatically.

STEP 02

Wait

A short delay (default 2 to 4 hours) so the work is fresh in the customer's mind but they have had time to step back from the moment.

STEP 03

Ask

SMS plus email goes out, signed with your name. One question: how did we do? Customers tap a button, no form filling, no second page.

STEP 04

Filter

Positive responses get the one-tap link straight to your Google review form. Negative responses route to your private inbox so you can address them before they go public.

What you get

A working reputation engine, not just a template.

Everything below is included in the build. Setup runs once, hands-off after that. Toggle, edit, or pause from your dashboard whenever.

GHL pipeline trigger setup tied to your job-completed stage
SMS template tuned to your voice (editable any time)
Email template with matching tone (editable any time)
One-tap link to your Google review submission page
Smart-filter that routes negative responses to your inbox first
Configurable post-job delay (default 2-4 hours)
One follow-up reminder, then auto-stop (no spam)
TCPA and CAN-SPAM compliance built in
A2P 10DLC opt-out language baked into every SMS
Reporting on send count, response rate, conversion rate
Pause toggle if you want to stop sending for a week
Webhook bridge for non-GHL CRMs (Jobber, ServiceTitan, etc.)
Operators talking

What clients say about review automation.

★★★★★

They set up automated responses for missed calls and lead inquiries, a simple CRM to track conversations, and a review request system that has made it much easier to build our Google reputation. Everything runs in the background so we can focus on serving customers.

Exceeded my expectations!! Making a website — especially an idea that you have in mind for yourself or business — is not as easy as they make it out to be. So to allow someone else to take over, as hard as that was for me, was the best decision I could have made. I couldn't be happier with how it turned out and couldn't recommend him enough!

Newly small business owner here. I came across Jimmy Hoover through a recommendation for my website build, but most importantly I needed someone who has as much passion as I do for growing my business. Jimmy set forth a clear plan that came with immediate execution and already his services are paying off. His plans are very reasonable for the professional services he provides, and I'll be upgrading very soon. Thanks Jimmy for helping me grow.

Eliminating the potential of burnout was an absolute non-negotiable when I set out leaving the traditional workforce and entering the solopreneur world. Insert ZapFlowMatic. As an individual who loved to be able to do it all, past experiences taught me that optimization of one's skills and time is where sustained success can live. The company, the owner, and most importantly the knowledge on how to automate the sometimes mundane but important tasks of the every day allowed me to plug myself in where most needed for my company to continue to thrive. The biggest importance for me and my business was to still allow myself to jump in at any point of the automation process and let that personal touch shine through with my clients and prospects — with ZFM we were able to fine-tune that perfect in-between. If you are looking to add them on as a tool to your tool belt, simply send me the 'thank you' via chat later.

Common questions

What people ask before signing up.

What happens if a customer responds negatively?
Negative responses route to your private inbox first, not to the public Google profile. You see the complaint, you address it, and the customer is far less likely to publicly post a bad review when they feel heard. Positive responses get the one-tap link to leave the review on Google.
Can I edit the message that gets sent?
Yes. Both the SMS and email templates are editable. We set the defaults during onboarding so they match how you actually talk to customers, and you can tune them any time from the dashboard.
How long after the job does the request go out?
Configurable. Default is a 2 to 4 hour delay so the work is fresh in the customer's mind but they have had time to step back from the moment. Some clients prefer same-day, others prefer next-business-day. We tune it during setup.
Does this work with my existing CRM?
If you are on Command Center, yes natively, and the trigger fires off your pipeline stage change. If you are on another CRM (Jobber, ServiceTitan, HoneyBook, HubSpot), we can wire the trigger via webhook in most cases. Worth a 15-minute scoping call.

Stop missing the reviews you earned.

Book a 15-minute call. We look at your pipeline, scope the trigger, and the system is wired in the same week. Most clients see the first batch of new reviews land within 30 days.
